Getting Started: Import a List

How to Import a List

Getting some real data into myphoner is most likely the very first thing you want to do. There's several ways to get started, depending on where your leads are stored today.

Upload a file with leads

Many people have leads stored in a spreadsheet or exported from another system in .csv-files. Here's a quick video describing the good way of getting that list into myphoner, and a guide to give you some extra details.

Screencast that explains how to import leads into myphoner.

Step 1: Prepare your data

Before you begin, take a look at your data. The first row in your spreadsheet must define the column names. Those will be mapped into the fields of your list in myphoner.

If your spreadsheet has a heading or notes on the first row(s), before the column names and the lead data, delete those row(s), so the column names is on the very first row in your spreadsheet.

If your spreadsheet does not define column names on the first row, but simply starts with lead data from the first lead in the list, you'll have to insert a row at position one, and give each column a name.

Here's an example of a well formed spreadsheet (although rather small), ready for import to myphoner:

Name Title Company Phone
John Doe Ceo Doe inc. 12345678

Step 2: Upload the list

Now all you have to do is find the import screen in myphoner. Go to Manage Lists Add a new list , hit "Select file" and locate the file on your hard drive.

When hitting 'Next', you'll be asked if you want to use a template or simply import using the file column names as field names.

Using file column names is faster and easier, so we reccommend this for new users (everything can be changed later).

However, if you already have another list, or if you plan on setting up synchonisation to another system later on, we recommend using a template.

Use our default template to enable synchronisation with other systems. Read more in Configure Integrations.

Use another list as template to enable moving leads back and forth between your lists, for example as part of a pipeline design.

Upload into existing list

If you want to import a file of leads to an existing list, go to Manage Lists  and then choose Import  from the context menu next to the list you want to import into.

During import, you'll be given the option to update existing leads. If you do this, be careful to choose the right field used to match up leads. If an existing lead matches a new lead its stemdata will be updated with data from the new lead. State including category, schedule, claims and activity log will not be changed.

Find the Import option in the list context menu.

Step 3: Preview and map

After selecting your template you'll be presented with a preview of your lead data. There's two important things to look our for here:

  1. Make sure your data looks like you'd expect. If not, refer to the troubleshooting section in the detailed documentation: Upload leads.
  2. Make sure that all the columns you want imported has a green header. If ther header is red, it means that the field has not been mapped and data for that column will not be imported.
Please not that if you selected 'Use file column names' when selecting template, you won't have to do this.

Having trouble?

If you see an error message while importing a list, please refer to the troubleshooting section in the detailed documentation: Upload leads.

Step 4: Select user access

Now all that's left is selecting which of your users should have access to call leads in this list. Once done, you'll get to the list configuration screen where you'll get a chance to tweak your list further. But that's covered in the next part of this guide: Configure a List.

Import directly from your CRM or contact manager

You can use our PieSync connector to import all your contacts from other apps.

You can even enable 2-way sync, so that every time you add or update a contact in myphoner, it is automatically synced with the other app, and vice versa - eliminating import/export!

PieSync works in the background and integrates your contacts 1-way or 2-way and in real time. This means you will have access to the most up to date customer information, no matter where you are or who entered the data.

Get started with PieSync

Before you start sync'ing you need a list in myphoner, that holds our default fields, and has been "locked to defaults" to prevent the sync from breaking if you change the name of a field.

Create an empty list. Go to Manage Lists Add a new list , click on "Empty list" and type in a name for your list and hit "Next".

On the next screen, click "Use default settings".

After choosing users and hitting "Next", you'll see the list configurations screen. Go to "Settings", tick "Lock on defaults" and hit "Save".

Once that is done, you are ready to sign up with PieSync and start importing your leads:

Chose "Use default settings" to prepare a new list for synchronisation.

You need to lock your list on defaults before you can start a sync with PieSync.

Create an empty list and add leads manually

If you want to input your leads manually, you first need to create an empty list. Go to Manage Lists Add a new list , click on "Empty list" and type in a name for your list and hit "Next".

Once you have your list, you'll need to define some fields to it in order to be able to add leads. But that is all explained in the next section of this guide: Configure a List

Where does your data come from?

If you have data coming in from other online systems, check out our guide on integrations for inspiration.
